Where phone changes go wrong

Why business phone system changes go wrong

Most problems after a phone switch have little to do with the phones themselves. They come from call routing, the office network, and the number move being planned separately.

01

Choosing on price per user

The cheapest plan per user can cost more once call routing, devices, and support are added.

02

Choppy or dropped calls

Internet calls depend on your office network and connection. If nobody checks them first, call quality suffers. Need a better connection? See business internet options.

03

Missed calls during the switch

Moving your existing numbers to a new provider takes coordination. Without a plan, calls can go to the wrong place.

04

Paying for overlapping tools

If you already pay for Microsoft 365, adding a separate phone system without checking what you have can mean paying for two ways to call. We'll review your current phone bills for free and show where the overlap is.

Questions

Business VoIP services: Los Angeles FAQs

Should we use Teams Phone or another VoIP provider?

It depends on how your team works. If everyone already uses Microsoft Teams, Teams Phone keeps calling in the same app. If you rely on desk phones or a busy front desk, a separate VoIP system may fit better. We compare both for your business before you decide.

Can we keep our phone numbers?

Usually, yes. Business numbers can generally be moved to a new provider. We coordinate the move with your providers and plan the switch so calls keep reaching your team.

What internet connection do we need?

How long does moving our numbers take?

It depends on the providers involved and how many numbers you have. Once we know your setup, we give you a plan with the expected steps, and we schedule the switch so calls aren't missed.

Do we still need desk phones?

Not always. Many teams make calls from a computer or mobile app, while front desks and shared areas often still use desk phones. We recommend what fits how your team works.

AI receptionist ROI calculator

Estimate whether an AI receptionist would pay for itself with your own call numbers. Add your details to see your results, and we’ll email you a copy. Read about AI receptionists, including what one does and what to check before you choose one.

The calculator needs JavaScript to add up your numbers. The formulas are listed under "How this estimate works" below, or talk with SupportMax and we'll work through them with you.

4 short steps · about 3 minutes · results by email

The numbers below are examples. Replace them with your own.

Step 1 of 4What a call costs you today

Think of the person who usually answers the phone, such as a receptionist, office manager, or front-desk staff member.

$
Pay plus benefits, payroll taxes, and other employment costs.
hours
Full time at 40 hours a week is 2,080 hours.
minutes
Time on the phone with one caller.
minutes
Writing notes, booking, passing on a message.

Staff cost per minute: –Cost per handled call: –

Step 2 of 4Routine calls an AI receptionist could take

Routine calls are ones that follow a script: opening hours, directions, booking or moving an appointment, taking a message.

calls
days
Weekdays only is about 21.
%
Your own estimate. Look at a week of calls if you can.

Routine calls per month: –Staff time on them: –Value of that time: –

Step 3 of 4Calls that go unanswered

Count calls that reach voicemail, ring out, or come in after hours. Not every missed caller is a new customer, so the next fields narrow it down.

calls
Include evenings and weekends. Your phone system's call log may show this.
%
Leave out existing customers, vendors, and spam.
%
If you're unsure, start low.
$
Revenue from a typical first job or first year, whichever you prefer. Use the same choice every time you compare.
%
Some callers hang up on any automated answer. 100% assumes every one stays on the line.

Revenue from missed calls now: – a monthEstimated share recovered: –

Step 4 of 4What the AI receptionist would cost

Use a real quote if you have one. Plans are often priced by minutes or calls, so check the quote covers the call volume above.

$
Subscription plus any per-minute or per-call charges.
$
Setup fees, phone-system changes, and staff time to configure it.
How this estimate works
  • Cost per handled call = yearly staff cost ÷ (paid hours × 60) × (call length + follow-up minutes).
  • Value of routine-call time = calls per day × business days × routine share × cost per handled call.
  • Revenue from missed calls now = missed calls per week × 52 ÷ 12 × possible-customer share × win rate × customer value.
  • Recovered revenue = revenue from missed calls × share an AI receptionist would capture.
  • Net monthly value = value of routine-call time + recovered revenue − monthly cost. First-year value = net monthly value × 12 − setup cost.
  • Break-even monthly cost is the most you could pay each month before the estimate turns negative.
  • Freed staff time only saves money if you reduce paid hours or move that time to work that earns or saves more. Otherwise it is time back, not cash.
  • The estimate does not include the cost of calls an AI receptionist handles badly, such as an upset customer or a caller who needed a person.

This is an estimate from the numbers you enter, not a quote or a promise of savings. Your individual entries stay in your browser. When you submit the form, SupportMax receives your contact details and a short summary of your results so we can email them to you.
