What it covers

Six areas that decide whether AI helps or adds risk

The assessment looks at the everyday things that make AI safe and useful in a small business, not just the technology.

01

AI in your business today

Which AI tools people already use, and whether you'd know about a new one.

02

Your data and who can see it

Whether your files are organized, and whether access is tight enough for an AI assistant to search them.

03

Rules and people

Whether your team knows what never goes into an AI tool, and how to check what it produces.

04

AI tools and connected apps

How new tools get approved, and what's quietly connected to your email and files.

05

Security basics AI depends on

Multi-factor sign-in, and backups you can actually restore.

06

Goals and ownership

Whether AI is aimed at a real task, and who is responsible for the decision.

Is your business ready for AI?

Answer 12 plain-English questions about how your team uses AI, your data and the security basics AI depends on. It takes about 4 minutes. Then enter your name and email to see your full report and get a copy in your inbox.

Scoring needs JavaScript. You can still read every question below, or talk with SupportMax and we'll walk through it with you.

Area 1 of 6

AI in your business today

You can't set sensible rules for tools you don't know about.

1. Which best describes how your team uses AI tools today, such as ChatGPT, Microsoft Copilot, Gemini, or AI features inside other apps?
2. If an employee signed up for a new AI tool tomorrow using their work email, how would you find out?

Area 2 of 6

Your data and who can see it

AI assistants like Microsoft 365 Copilot can surface anything a user already has access to. Messy permissions become visible fast.

3. Where do your important business files live, such as customer records, financials, contracts, and HR documents?
4. If an AI assistant could search everything one of your employees can open, would anything surprising turn up?

Area 3 of 6

Rules and people

Most AI mistakes are ordinary ones: the wrong information pasted into the wrong tool, or an answer trusted without checking.

5. Have you told employees what should never go into an AI tool, such as client data, passwords, or health and financial details?
6. Has your team had any guidance on using AI safely and double-checking what it produces?

Area 4 of 6

AI tools and connected apps

An AI tool connected to your email or files can often read far more than people expect.

7. Before someone starts using a new AI tool with business information, what happens?
8. Are any AI tools, add-ons, or automations connected to your email, files, CRM, or accounting system?

Area 5 of 6

Security basics AI depends on

AI tools sit on top of your accounts and files. If those aren't protected and recoverable, AI adds risk instead of value.

9. Is multi-factor authentication (a second sign-in step, like a code on your phone) turned on for email and Microsoft 365 or Google Workspace?
10. If important files were deleted, changed, or locked by ransomware, how confident are you that you could get them back?

Area 6 of 6

Goals and ownership

AI pays off when it's pointed at a real task and someone is responsible for the decision.

11. Do you know which tasks you'd most like AI to help with?
12. Who makes decisions about AI in your business?

Questions

AI readiness assessment: common questions

What is an AI readiness assessment?

It is a short review of whether your business can use AI tools safely and usefully. This one looks at six areas: which AI tools are in use, how your files and permissions are organized, the rules your team follows, which tools are connected to your business data, your security basics, and who owns AI decisions.

Who is this assessment for?

Owners and managers of small and midsize businesses who want a quick, honest read on how AI is being used and what to tighten up. You don't need technical knowledge. If you're not sure of an answer, pick the one closest to your best guess.

How do I get my results?

Answer the 12 questions, then enter your first name and email. Your full report appears on the page right away, and we email you a copy with your result, your score, and the first steps we’d recommend. Only those results go to HubSpot, our customer system, not your individual answers.

Is this the same as a security audit?

No. It's a self-assessment based on your answers. It doesn't test your systems or determine compliance. For a deeper look, SupportMax offers a paid Cybersecurity Assessment that includes a settings review, a vulnerability scan, and a written report.

We’re thinking about Microsoft 365 Copilot. Does this help?

Yes. The questions on file access and connected apps matter most before a Copilot rollout, because Copilot can surface anything a user already has permission to open. Microsoft describes this in its Copilot data, privacy, and security guide. SupportMax helps prepare permissions and data access before rollout. See Microsoft 365 management.

What does an AI consultation with SupportMax cost?

It depends on the number of users, the tools and data involved, your security starting point, and what you want AI to do. We'll explain those factors before recommending anything.

Want a second opinion on your results?

Bring your results to a short conversation. We'll help you decide what to fix first and where AI can genuinely help your business, without pressure to buy anything.
