AI is useful when it solves a real workflow—not when it becomes another shiny subscription nobody uses. SupportMax’s practical approach starts with one repetitive task, defines the risk and human review, tests whether the result is genuinely useful, and only then considers automation. The goal is a careful, controlled improvement your team can understand. Explore our AI services, then schedule a conversation about one process your team would like to improve.

Where owners start

Common questions owners have about AI

Most small businesses aren't sure where to start. These are the usual sticking points. New to this? Read how AI can give business owners their time back.

01

Where would AI actually help?

Repetitive tasks, searching for information, drafting, and answering common questions are usually the first places to look.

02

Is our data ready?

AI tools can surface files people should not see if sharing and permissions are messy. That needs checking first.

03

Is it safe for staff to use?

Without a simple policy, staff may paste client or confidential information into public AI tools.

04

Who will set it up and support it?

AI tools need setup, training, and someone to answer questions after launch.

Seeing AI use

Which AI apps, browser extensions and built-in AI features people use, approved or not.

Keeping data out

Client files, financials and passwords pasted or uploaded into AI tools, especially personal accounts.

Rules and ownership

Who decides, what staff have been told, and what you could show a client or insurer who asks.

Scoring needs JavaScript. You can still read every question below, or talk with SupportMax and we'll walk through it with you.

Seeing AI use

1. Which AI tools do people in your business use for work?

Think ChatGPT, Microsoft Copilot, Gemini, Claude, and AI writing or image tools.

Seeing AI use

2. If someone installed a new AI app or browser extension tomorrow, how would you find out?

AI browser extensions can often read the pages and email people have open.

Seeing AI use

3. Do you know which AI features are switched on inside the apps you already pay for?

Microsoft 365, Google Workspace, Zoom, your CRM and accounting software increasingly include AI assistants and meeting notetakers.

Keeping data out

4. Have you told staff, in writing, what must never go into an AI tool?

For example client records, financial details, health information, contracts, or passwords.

Keeping data out

5. Could someone paste or upload a client file into an AI tool from a work computer today?

Written rules help, but most businesses have nothing that actually stops a well-meaning mistake.

Keeping data out

6. When staff use AI for work, whose account are they signed in with?

With a personal account, the business can't see, manage, or delete what was shared, even after the person leaves.

Keeping data out

7. Can staff connect an AI tool to their work email, calendar, or files on their own?

One click on "Allow" can give an AI notetaker or assistant ongoing access to a mailbox or shared drive.

Rules and ownership

8. Who decides which AI tools your business uses?

Without an owner, every employee makes the call alone.

Rules and ownership

9. Has your team had guidance on using AI safely?

Including what not to share and why AI answers need checking before anyone relies on them.

Rules and ownership

10. If a client, insurer or auditor asked how you control AI use, what could you show them?

Security questionnaires increasingly ask about AI. A simple record beats a verbal answer.

Common questions

What is shadow AI?

Shadow AI is any AI tool used for work that the business hasn't approved or can't see, such as a free chatbot on a personal account, an AI browser extension, or an AI notetaker connected to someone's work calendar.

What does it cost?

The check and the report are free.

Is this a scan of my network?

No. Nothing is installed and nothing is scanned. Your score reflects only the answers you give.

What do you do with my answers?

Your score and top risks are worked out in your browser. If you ask for the full report, the contact details you enter, plus your score, result, risks, first steps and 30-day plan, are sent to SupportMax so we can email your copy. Your individual answers are not sent. Getting the report doesn't sign you up for marketing emails.

Can I retake it?

Yes, as often as you like.

Questions

AI services: Los Angeles FAQs

What can AI do for my business?

Common starting points are drafting and summarizing, finding information across your files, automating repetitive tasks between apps, and answering routine questions with a chatbot. The right uses depend on how your business works. See AI automation for how we automate repetitive work.

Where do I start with AI?

Start with readiness: where AI could help, whether your files and permissions are in order, and simple rules for staff. Then pick one or two practical uses.

Is Microsoft 365 Copilot safe for our data?

Do we need an AI policy?

Yes, a simple one helps. It tells staff which AI tools they can use and what information they should never paste into them.

How much does AI consulting cost?

It depends on what you want to do: a readiness review, a Copilot rollout, an automation, or a chatbot, plus your number of users and systems. You receive a quote based on your goals.

Do we have to be a managed IT client?

AI receptionist ROI calculator

Estimate whether an AI receptionist would pay for itself with your own call numbers. Add your details to see your results, and we’ll email you a copy. Read about AI receptionists, including what one does and what to check before you choose one.

The calculator needs JavaScript to add up your numbers. The formulas are listed under "How this estimate works" below, or talk with SupportMax and we'll work through them with you.

4 short steps · about 3 minutes · results by email

The numbers below are examples. Replace them with your own.

Step 1 of 4What a call costs you today

Think of the person who usually answers the phone, such as a receptionist, office manager, or front-desk staff member.

$
Pay plus benefits, payroll taxes, and other employment costs.
hours
Full time at 40 hours a week is 2,080 hours.
minutes
Time on the phone with one caller.
minutes
Writing notes, booking, passing on a message.

Staff cost per minute: –Cost per handled call: –

Step 2 of 4Routine calls an AI receptionist could take

Routine calls are ones that follow a script: opening hours, directions, booking or moving an appointment, taking a message.

calls
days
Weekdays only is about 21.
%
Your own estimate. Look at a week of calls if you can.

Routine calls per month: –Staff time on them: –Value of that time: –

Step 3 of 4Calls that go unanswered

Count calls that reach voicemail, ring out, or come in after hours. Not every missed caller is a new customer, so the next fields narrow it down.

calls
Include evenings and weekends. Your phone system's call log may show this.
%
Leave out existing customers, vendors, and spam.
%
If you're unsure, start low.
$
Revenue from a typical first job or first year, whichever you prefer. Use the same choice every time you compare.
%
Some callers hang up on any automated answer. 100% assumes every one stays on the line.

Revenue from missed calls now: – a monthEstimated share recovered: –

Step 4 of 4What the AI receptionist would cost

Use a real quote if you have one. Plans are often priced by minutes or calls, so check the quote covers the call volume above.

$
Subscription plus any per-minute or per-call charges.
$
Setup fees, phone-system changes, and staff time to configure it.
How this estimate works
  • Cost per handled call = yearly staff cost ÷ (paid hours × 60) × (call length + follow-up minutes).
  • Value of routine-call time = calls per day × business days × routine share × cost per handled call.
  • Revenue from missed calls now = missed calls per week × 52 ÷ 12 × possible-customer share × win rate × customer value.
  • Recovered revenue = revenue from missed calls × share an AI receptionist would capture.
  • Net monthly value = value of routine-call time + recovered revenue − monthly cost. First-year value = net monthly value × 12 − setup cost.
  • Break-even monthly cost is the most you could pay each month before the estimate turns negative.
  • Freed staff time only saves money if you reduce paid hours or move that time to work that earns or saves more. Otherwise it is time back, not cash.
  • The estimate does not include the cost of calls an AI receptionist handles badly, such as an upset customer or a caller who needed a person.

This is an estimate from the numbers you enter, not a quote or a promise of savings. Your individual entries stay in your browser. When you submit the form, SupportMax receives your contact details and a short summary of your results so we can email them to you.
